System Flow Charts
•A system flowchart shows the flow of data and processes within a complete system. It is a
graphical illustration of flow of information within a system.
•It is a valuable presentation tool to show the interaction and interlinking of major
components of a system in a sequential order to achieve final meaningful results through
the system.
•It serves as a system road map.
•Flowlines represent the sequences of processes, and other symbols represent the inputs
and outputs to a process.

Progress check
Identify the symbols used in each step of the given process.
Flowchart for taking wage calculation:
1.The company will collect employees' account details from the bank.
2.Enter the employees' details into the local server.
3.Calculate the employees' salaries.
4.Deduct any additional charges.
5.Deposit the salaries into the employees' accounts.
6.Print the salary slips.
Challenge: Design a flow chart for
wage calculation process

Progress check
Find and correct the errors in the given flow chart for hotel
reservation system.
Hotel bookings are input manually using a keyboard. While
editing the booking, the data that has been input is displayed on
the screen. Data for the guest who will be staying at the hotel is
retrieved from the guests’ file. When the data has been input, it is
validated and the user is required to correct any errors. A process
then saves the booking and prints a booking confirmation
document which can be sent to the guest. Each morning, guest
arrival sheets, which include information about each guest and
the room they will be staying in, are printed. Also in the morning,
a checkout list is printed which shows which rooms are due to be
vacated that morning.

Challenge: Add an automated email
system to notify guests about their
bookings and remind them of check-in and
check-out times, enhancing the hotel’s
communication efficiency and guest
experience.

Collaboration Task
An office area has an air conditioning system. The user
guide for the system contains a trouble shooting flow
chart that user can follow if the system is not working.
The given flowchart is complex to follow quickly.
Using the information in the flowchart redesign the
trouble shooting guide by completing the given table.
Some of the instructions have been done for you.
Work in groups to redesign the
troubleshooting guide. Share your
answers with other groups to peer
assess.

EXTENSION TASK - INOVATION
Design an innovative system flowchart for an automated attendance system. Your school wants to
implement an automated attendance system to streamline the process of recording and monitoring
student attendance. The system should be able to:
•Identify students as they enter the classroom using RFID cards or a biometric system.
•Record the attendance in a database.
•Notify teachers of absent students.
•Generate attendance reports.
Research existing attendance systems and identify
potential improvements. Brainstorm innovative features
that could be included in your design. Draft the
Flowchart to present your idea.
