  • Supply officer is a major role in a company.

  • It should be performed with accurate and right manner because failure to do so may lead to bigger problem.

  • They must also have the knowledge on how to receive and inspect the product.

  • As a supply officer he or she should guarantee that the delivered supplies, tools, equipment, and materials are secured, complete, and in good condition.

The following are things to be considered when receiving a shipment or delivery:

  • Check if the delivery belongs to you. If the delivery does not belong to you, refuse to sign on the receipt.

  • Make sure that the specification of the items and that each item belongs to you.

  • Never sign in the receipt when inspection for any damages is not yet done.

  • Make sure that the seal of the delivery is not broken.

  • Inspect for any broken item inside the package. If there is damage but only partial, just make a notice of damage.

The following are things to be considered when receiving a shipment or delivery:

  • Inspect for any holes, wet, or stain in the case of the delivered items.

  • Count the number of the delivered items.

  • Check if it matches in the delivery receipt before signing it.

  • Make sure that the seal of the delivery is not broken.

  • Make sure that its packaging is not tampered. On the other hand, if the items delivered are incomplete make a notice of shortage.

After finding out that there is missing, broken in the delivery the supply officer should request for an inspection.

Here are the steps that should be followed in requesting for an inspection of the delivery.

  • Request for an inspection through a phone call right after discovering the problems.

  • After the call was made, also request for inspection through writing. Take note and make file of the person contacted together with time and date.

  • When damage or shortage is reported, the courier will tell when and who will be the one to be send in order to inspect the delivery.

  • After the inspection, make a detailed report.

  • It is important that the tools are stored in a dry place.

  • Tool racks should be in accessible locations for activity in the shop.

  • When stored in cabinets, tools should be labeled according to their functions or uses.

Basic Tips in Storing Electrical Tools and Equipment

  • Tools and equipment must be stored according to their classifications.

  • Light tools should be placed at the upper shelf of the cabinet or tool rack.

  • Frequently used tools and equipment should be placed at the center of the shelf.

  • Heavy tools and equipment like power grinder should be placed at the lowest shelf.

  • Defective tools shall be kept in the section intended for them for inventory purposes.

How to Handle and Maintain Tools

  • Clean tools with a cloth or brush to remove dirt after every use.

  • Keep all tools in the tool room or tool rack

  • Tools should be appropriately oiled to prevent rusting.

  • Drill tools and toothed cutting tools should be sharpened properly and as often as necessary.

  • Never drop tools most especially precision instruments or testing tools
